02 · The problem

Right now, the back office runs on you

The business is good. The admin around it is a grind that only you can carry. A new listing means posting it five times by hand, once for every portal. Enquiries pile up in Outlook and the ones that matter get buried. You match buyers to stock from memory, so a property that fits someone slips past. Owners get the right letter only when you find the time to print, stuff and post it. And the automation meant to catch registrations, the Make one, keeps breaking, so leads quietly go missing. It works, but only because you never stop feeding it.

The listings
Posting it five times One property goes up on Rightmove, Zoopla, OnTheMarket and LoopNet by hand, every time, and every update and withdrawal is another round of the same manual work.
The enquiries
Lost in Outlook Enquiries and registrations live in the inbox. The ones you do not get to that day slide down the pile, and a buyer who was ready to move never hears back.
The tools
Make keeps breaking Buyers matched from memory, letters written and posted by hand, and a brittle Make scenario dropping leads. The parts you like least are the parts you cannot skip.
The real cost: a business that owns your day.

Your eye for a property and your relationships with buyers and owners are the genuinely valuable part. Everything else, the posting, the sorting, the matching, the letters, is grind that stands between you and the deal. Today it eats the week. That is exactly the part a machine should carry, quietly, in one place, and never break doing it.

03 · The suite

Four automations that carry the whole back office

Each one kills a specific daily grind and hands you the result, not the task. They all run through Monday, so everything lands in one place, and none of them ever needs babysitting. Click any automation for its full scope, or see the full system map ›

01

Portal Sync

Post once in Monday, live everywhere

You add or update a property in Monday once, and it goes live across every portal you list on, instead of you posting it five times by hand. One entry, live everywhere, with updates and withdrawals kept in sync too, so nothing on a portal ever goes stale.

Runs on: Monday.com · Rightmove data feed · Zoopla · OnTheMarket · LoopNet

02

Enquiry Capture

Every enquiry becomes a tracked lead

The moment a property enquiry lands in Outlook, it becomes a lead on the right Monday board, with the person's details, the property and a follow-up already set. Nothing lives in your inbox, nothing gets missed, it is all in one place, and the enquirer can get an instant acknowledgement.

Register & Match

Buyers register, get matched, served automatically

The Make automation that keeps breaking is replaced by one that never breaks. A buyer registers, a Monday lead is created reliably, their requirements are scored against the stock you hold, and the properties that fit are emailed to them automatically. You have got the buyers, now they hear the moment something fits.

Runs on: Registration form · Monday.com · Claude · email

Planning Radar

Planning decisions trigger the right letter

Nimbus flags the moment a planning decision lands on a residential block or mixed-use property, and the right letter goes to the owner in the post, no printing, no licking stamps. Refused: we have buyers if you are considering offloading. Accepted: congratulations, we can help you sell it or find your next project.

Monday.com is the one place it all runs through. All four automations read from and write to Monday as the single source of truth, additive only: they create and update, they never delete or overwrite. It is the same safe pattern already running in your valuation tool, so your live data is never at risk and everything you need is on one board.

04 · The plan

The proof is already built. Then a three-week rollout.

Before you commit a penny, you can see it working. The demo is live: a real property flowing through all four automations, the enquiry, the matched buyer and the letter, exactly as it will run for you. We take the build risk up front, so you are buying something proven, not a promise.

Already built

Your working demo is ready to click through

See what lands in Monday: the listing gone live, the enquiry captured, the buyer matched, the letter posted. This is the machine, not a mock-up of one.

Proven architecture
This machine is not new. The matching, the outreach and the additive, safe writes to Monday are already built and running live in your own valuation tool. Same bones, new parameters. That is what takes the build risk off the table before you start, and it is why reliability is a promise, not a hope.

From your deposit, here is the rollout, week by week. Each week ends on something live you can see and use, not a status update.

Week 1
quick wins + access
The daily pain goes first
Milestone: enquiries and registrations landing in Monday, reliably
  • Enquiry Capture live: every Outlook enquiry turned into a tracked Monday lead with a follow-up, so nothing sits in the inbox
  • Register & Match reliability fix live: the brittle Make scenario replaced with a monitored, purpose-built registration that does not drop leads
  • Portal feed access confirmed per portal, so we only build each leg where the feed is live
Week 2
matching + letters
Buyers served, owners reached
Milestone: fitting properties auto-sent, and the first letters posted
  • Register & Match full matching and auto-send: buyer requirements scored against live Monday stock, the fits emailed automatically and logged
  • Planning Radar live: Nimbus decisions turned into the right letter, printed and posted through Stamp, with the contact logged to Monday
Week 3
portals + handover
One entry, live everywhere, and it is yours
Milestone: live, tested on a real property, handed over
  • Portal Sync live across the confirmed portals: post once in Monday, live everywhere, updates and withdrawals kept in sync
  • End-to-end test on a real property, from listing to enquiry to match to letter
  • Handover doc in place and the 30-day support window opens
Then 30 days of post-launch support. Once you are live, you get a 30-day window of monitoring and refinement included as standard, so the suite is dialled in around your real listings, enquiries and buyers, not left to fend for itself.

Why it pays for itself

Posting one property to four portals by hand is two to three hours, before a single update or withdrawal, and the listings are only part of it. Add the enquiries chased, the buyers matched from memory and the letters printed and posted, and the suite hands you back hours every week. Set against Calibre's deal values, £4,200 is a fraction of a single completion, and the whole point is that the enquiry, the buyer or the owner that leads to one never slips through again.

What it costs to run

It runs on your own accounts: a few pounds a week of AI, plus the portal, Nimbus and Stamp subscriptions you already pay. There is no MaxAI subscription and nothing tied to our infrastructure. Calibre owns the custom code and config on full payment.

06 · Straight answers

The questions worth being sure about

The honest answers to the things worth settling before you start.

Q. Do the portals even allow this?

Yes, through your own agency feeds. Listings push out through the memberships you already hold, Rightmove RTDF and the rest, and where a portal has no open feed we automate to a one-click upload. We confirm feed access per portal in week one before building that leg, so you are never paying for a dead end.

Q. Will it touch my live Monday data?

Additive only. It creates and updates, it never deletes or overwrites, exactly the safe pattern already running in your valuation tool. Your live boards are never at risk, and everything new simply lands in one place.

Q. Make keeps breaking on me.

That is the whole point of this. The registration is a monitored, purpose-built webhook with retries and failure alerts, not a brittle Make scenario. It is built so it does not break, and if anything ever does slip, you are told rather than left guessing.

Q. What does it cost to run?

A few pounds a week. It runs on your own accounts: a small amount of AI, plus the portal, Nimbus and Stamp subscriptions you already pay. There is no MaxAI subscription and no retainer.

Q. I only want one or two of them.

Take them one at a time. Each is priced to its own build, from £600 for Enquiry Capture up to £2,500 for Planning Radar, in any order, and you can add the others whenever you like. All four together as the suite is £4,200, which saves you £2,000 versus £6,200 separately.

Q. Is my data safe?

Your accounts, your data. Everything runs on your own Monday, Outlook, portal, Nimbus and Stamp accounts, with additive writes only, and you own the custom code and config on full payment. Nothing is tied to our infrastructure.
